Front Office Receptionist

The main duty is to answer our multi-line Corporate PBX telephone system professionally, politely, direct calls correctly and assist in Agency clerical needs.

Duties & Responsibilities:

  • Answer incoming calls and direct calls correctly
  • Take and deliver messages
  • Welcome customers and visitors and direct them appropriately
  • Check fax machine for incoming faxes and deliver them accordingly
  • File completed customer orders and communication
  • Create new customer files
  • Enter sales leads into the Interlinc CRM and mail appropriate marketing materials
  • Process customer orders, deliveries and deal with suppliers
  • File and maintain database of customers, suppliers, and other Agency contacts
  • Maintain cleanliness of lobby and front office
  • General office duties as assigned

Prerequisite Qualifications:

  • Excellent communication (verbal and listening) on the phone and in person
  • Pleasant phone voice, with proper spoken grammar
  • Ability to work with a variety of individuals including clients, employees and suppliers
  • Ability to multi-task and change directives quickly
  • Ability to work in a fast paced office environment
  • 1-2 Years of strong high-volume multi-line phone system operation
  • Receptionist experience in a fast paced environment
  • Customer service experience an asset

Software Proficiency:

  • Microsoft Word and Outlook
  • General Internet
