Executive Assistant

The Executive Assistant must exercise professional judgment and confidentiality to complete the day-to-day tasks necessary to facilitate smooth coordination of Agency operations. Responsibilities include but are not limited to directing and coordinating Agency operations & services and serving as administrative support for all departments:

Duties & Responsibilities:

  • Process incoming and outgoing mail
  • Screen incoming calls and correspondence for transfer to appropriate staff
  • Serve as office manager
  • Create Agency forms
  • Monitor contracts and offer client support
  • Maintain Agency calendar and coordinate schedules for managers
  • Maintain client database integrity
  • Prepare monthly reports and meeting materials
  • Compose complex memos, reports and other documents

Prerequisite Qualifications:

  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
  • Excellent oral and written communication skills
  • Strong analytical, organizational and interpersonal skills
  • Team player and team builder
  • Thorough knowledge of business English, spelling, punctuation and proof-reading

Software Proficiency:

  • Microsoft FrontPage, Word and Outlook
  • 1-2 years experience in administrative capacity
  • Ability to work independently and meet deadlines to complete projects.
